*Job Summary* The Exercise Coach is seeking a Front Office Assistant that is capable and friendly to work at our reception area.
In this role, your duties will include answering incoming calls, tracking incoming leads, scheduling appointments, interacting with clients in person and in text/over the phone, and welcoming visitors.
Other responsibilities include: tracking studio metrics such as lead flow, conversion, retention and client satisfaction.
You may also be required to order office supplies.
Our ideal candidate has front office/office administrative experience and is people-oriented, energetic, and passionate about health and fitness.
To ensure success, front office assistants should possess the ability to communicate effectively (written and verbal) with members of the public and are capable administrators who make visitors arriving at the reception area feel welcome.
*Front Office Assistant Responsibilities:* ● Reporting to management and performing administrative duties.
● Answering telephone calls, as well as screening and forwarding calls.
● Scheduling and confirming appointments, meetings, and events.
● Welcoming and assisting visitors in a friendly and professional manner.
● Copying, scanning, and filing documents.
● Monitoring office supplies and ordering replacements.
● Keeping the reception area tidy and observing professional etiquette.
● Performing other administrative tasks, if required.
*Front Office Assistant Requirements:* ● High school diploma or GED.
● Formal qualification in office administration, secretarial work, or related training.
● 2-3 years of experience in a similar role.
● Exceptional ability to create a welcoming environment.
● Experience in answering and screening calls, as well as scheduling appointments.
● Ability to observe business etiquette and maintain a professional appearance.
● Proficiency in appointments scheduling and calls.
● Experience working with word processing, spreadsheets, and emails, including Microsoft Word, Excel, and Outlook Express.
● Working knowledge of printers, copiers, scanners, and fax machines.
● Excellent interpersonal and communication skills.
*Job Qualifications* ● Valid CPR/AED certificate from nationally-recognized provider or with in 30days after hire ● Must be eligible to work in USA.

*General Accountabilities* *Responsibilities:* ● *Administrative Responsibilities* o Administration of client accounts, including the completion of all necessary forms, credit card charges, data entry, and clerical duties as directed by Studio manager.
o Respond promptly to all email correspondence, phone calls, and text messages from clients, prospects, co-workers, and supervisors.
● *Client Retention & Reacquisition* o Promptly contact clients who are falling behind in their attendance in accordance with our client retention strategy.
Log such activities in a prompt and accurate manner.
o Actively contact former client in accordance with our reacquisition strategy.
● *Studio Maintenance* o Contribute to and oversee the maintenance of a clean and well-organized studio.
o Notify Studio Manager of any required repairs.
● *Studio Culture* o Demonstrate a polite, professional, and helpful attitude towards clients and co-workers.
o Maintain a cooperative and “team” mentality at all times.
o Always remain productive while on the clock.
o Demonstrate the value of our brand by actively participating in our fitness program.
● *Personal Development* o Act as an effective brand ambassador inside and outside the studio.
o Maintain a functional knowledge of fitness-related topics, especially those discussed in corporate communications from the brand.
o Model professionalism through appropriate attire, language, attitude, personal hygiene, promptness, honesty, and integrity.
● *Work Schedule* o You must work the schedule per the directives of your Studio Owner.
o You must comply with Company policies in regard to requests for schedule changes, required notifications in the event you are running late, overtime approvals and all other rules regarding your shift.
● *Miscellaneous* o Maintain a functional knowledge of all other policies and procedures found within the Employee Handbook.
o Ensure personal compliance with those policies.
Job Type: Part-time Pay: $12.
